We use ClickUp for our project management across the company. ClickUp is a fantastic tool we've used for a number of years with a very deep feature set. The ability to use project management and docs in one place has been a fantastic addition to our company. ClickUp is so flexible so the potential is really endless. We really wanted a platform that will scale at the same rate as us and ClickUp has done just that. Releasing huge amounts of technical value with no sign of slowing down.

ClickUp is fantastic for a company that has a strong emphasis on execution and project management. ClickUp feature set is amongst one of the strongest in the industry. As a software business, we require this sort of feature set for things like sprints, GANTT, agile and much more. ClickUp can be daunting for companies that are looking for basic project management without the bells and whistles. There are other project management providers that have a much simpler platform. If you are a fast growing dynamic tech company I really don't see another option that rivals ClickUp.

We used ClickUp to document all the features of medical software and then organise them based on their priority and labels. It's easy to add comment and screenshot in a task. It's so useful and beneficial for my team.

It is well suited to manage multiple tasks simultaneously. Feature I love in ClickUp is that it is so easy to use and understand and we can focus on one task at a time also I like to add label and color to tasks. also we can manage task based on labels we created.

We use ClickUp for both daily and on-need basis; this proves to be an essential tool to track company-wide and team-wise projects along with its subtasks. It proves to be useful as compared to having to manually input tasks on spreadsheets, as the tool itself has built-in notifications especially when it's integrated into Google Workspace.

  • Automated notifications! Super love this!
  • Email digest - basically I am reminded on email a summary of what I need to accomplish for the day.
  • UI/UX - it can be too cluttered sometimes and can be intimidating especially for those new users.
  • Too many functions per se (can be a bad thing) if you're in a hurry and wanted to jot a simple tasks - sometimes there's just too much thing happening on.
  • Sub-tasks within a main tasks can be very confusing when connected to a project dependency. Prepare to go over a maze. :)
For starters, I would recommend using it on a smaller team first just to test their comfortability, as going back to my 3-point dislikes - the tool sometimes can be overwhelming.

If you pass this stage then the tool can be very powerful in tracking projects and tasks. In our case we use it to track almost everything!

We use ClickUp to manage product development, store documentation and for planning.
We develop in sprints and keep track on tasks and goals for those sprints in ClickUp. We use ClickUp to track time, and as a knowledge base too. ClickUp solves pretty much anything related to product management. It has made onboarding easier, and it removes the need to have multiple softwares for related things (like sharing and collaborating on documentation).

  • Features I'd like to use very much would cost too much because I'd need to upgrade the plan for everyone
  • UI can become cluttered and some things are hard to find
  • Would be great to be able to upgrade the plan for only some members, since not everyone in the organization uses ClickUp even nearly the same way
It works very well for tracking tasks and projects on a starting scale, but once you start adding more users it can get costly. So for small business or hobby use it works perfectly as long as you don't have too many people who need to use it. It scales well to bigger use as well, and has good access control options so it's very easy to give access to spaces for some members only.

We generally use ClickUp for Task Scheduling and Iteration of daily activities. It keeps our team on track with what needs to be done as a priority, which tasks can be pushed ahead, etc. ClickUp has been a life changer to manage remote teams and adds significant value for our Marketing Agency.

ClickUp is free to use and very efficient for task management and productivity. ClickUp is ideal for remote teams and in house teams as well. ClickUp is not for an Enterprise Customer as a whole, but rather for different teams in an Enterprise. ClickUp is ideal for Marketing Agencies, Product Companies, Service-based businesses, etc. All in all ClickUp is a good SaaS product and Clickup 3.0 is a game changer for now.

We have automated our project intake process for new learning and development projects to feed into ClickUp where they are assigned to the individual that will manage the project and work it to completion. We also use it to manage yearly roadmap projects where individuals from the team will collaborate on a project and use ClickUp as their hub.

ClickUp is great for small teams that need to collaborate on projects. It allows for tracking of project status, notes, files, and other details that keep a team and project on track. We use ClickUp to track progress on projects/tasks and to have one central communication hub to discuss tasks. ClickUp allows us to easily visualize how we're measuring up to our deadlines, where any bottlenecks are happening, and gives us a place to store assets like content, images, and other files.

ClickUp is great for project management overall. We haven't even scratched the surface of all of its capabilities although we work with other businesses who tailor their experience to their specific needs so we get a sense of how much more we could be doing. It's just hard to find the time to really dig in.

ClickUp is great for tracking projects, ensuring nothing falls between the cracks. It's great to convert Slack messages or emails to tasks. It's a great space to communicate with teammates and to get people's eyes on the projects that are relevant to them so as to not bog down everyone's inbox.

As a Project Manager, I run over 5 projects at the same time with different teams, and ClickUp has helped us to keep things smoothly going. We track progress and assigned tasks, and keep everyone informed easily. I've created several templates to optimize ClickUp implementation at our studio, and they prove to be truly useful.
  • Easy to use lists and hierarchies when handling multiple projects
  • Task prioritizing and dependency
  • Several view options that fit different users needs
  • Easy to use editing such as drag and drop
  • Time tracker and its reports are not easy to use nor clear to read
  • Templates updates are not easy to do
  • Limits of view using and features for the lower plans
  • Comment's threads and replays at chat space are hard to follow, they show entangled or not easy to find at a glance
It's a great tool to manage projects giving clear visibility of progress, dependencies, deadlines, etc. Also, you can review the workload by combining multiple lists. I haven't had the chance to try the Workload feature yet As with any tool, it requires a pre-agreement on how to use it and criteria within your team. Consider planning a dedicated onboarding for your team. It's a bit overwhelming at first but has many options to fit different user types. The more you use it, the more benefit you get.

We use ClickUp to solve our main problem, which was the need to enhance communication and collaboration across teams, many of which have remote workers on them. We've set up individual Spaces for each team that contain folders, lists, and different views to house all of the team's tasks and docs in one place. Within those, each team uses its own process to manage the workflow; whether that's as a sprint, using the Workload view for resource management, or Gantts or timelines to track deadlines. Every piece of work that each team member needs to complete results in a task or subtask being created with assignees and start/end dates added along with Space-specific custom fields like its priority level, supporting team members who will assist, how many times something's been reviewed, and what filetype the final product needs to be delivered in.
  • Allows you to create dashboards to track your team and company's progress towards its goals.
  • Integrates docs and forms so we don't need to switch apps
  • Notifications about every update, so you never really need to go asking around for one.
  • Allows you to visualize deadlines, how each piece of work fits into the bigger picture, and see in real-time what's holding your team up
  • Time tracking; although useful, it glitches a lot and doesn't allow you to automatically set something to be billable or non-billable time
  • Tracking down where a view setting is causing issues in another list, folder, or space
  • Permissions and sharing; it should be an easy one-time thing, as opposed to glitching and reverting back to the original setting
ClickUp is great for companies that have a lot of different departments or business units as it allows everyone to have a place for their work and keep parts of it private from other teams, but also allows you to collaborate on shared projects easily and effectively.

ClickUp is a bit less effective for things like responding to customer inquires or complaints. An organization that does a lot of that would be better suited to finding a CRM where they can manage all their inboxes and corresponding tasks in one place.

ClickUp was a great solution to keep our projects in one place which enabled a stronger collaboration between locations and cross-functional departments. The most powerful piece of ClickUp for our company was the history change record that allows you to refer back to any change within the project. Furthermore, it actually helped our PMO team save time on keeping the projects up to date with the wide range of functionalities to customize your interface to focus on what matters without losing sight of the additional details. The case of use is also vast thanks to the versatility that it has allowed us to not only manage business projects but also programs and department management.

  • Great Community that allows you to learn faster.

  • The Gantt view is a great resource, but it lacks customization and flexibility to show custom fields on the side view next to the project names.

Our Global Operation team has been developing a communication channel in ClickUp to have visibility of what the other regions around the world are doing, which allows to foresee double work and to leverage the company resources to focus of what matters. The flexibility of working in an isolated space but also being capable of sharing outside the group is a good scenario.

I needed a rapid replacement for project requests and problem ticket management for my software dev department. We had a prior system die on us all of a sudden and switched to ClickUp. We run a high volume of requests that are worked on by about a dozen staff. ClickUp is used to manage all the requirements and activity and also request intake.
  • it has several integrations
  • it can do custom automations
  • it has a fairly robust API interface
  • ClickUp support is useless and awful
  • The UI changes often and usually focused on silly or pretty things, but not critical or major functional corrections or enhancements
  • The data is hit or miss. Tasks report the incorrect status, values in fields randomly are missing from time to time, users sometimes disappear, lists are not in alphabetical order (meanwhile the support and dev contacts at ClickUp maintain that they are - even in the face of screenshots wherein they are not)
ClickUp seems like it COULD be good at some things related to task tracking, user assignment tracking, and reporting. But it tries to do everything and control everything and expects that its users will work out of ClickUp to manage all their other logistical management. Meaning, it has integrations to speak out to other apps and tools, but little-to-no integrations into ClickUp from other software.

It has a huge amount of flexibility and options in certain areas that I, at least, find unnecessary, redundant, and/or useless. Other areas of the software could use SO much more functionality, flexibility, and/or automation but does not have it.

Our marketing team uses ClickUp for project management and quick, easy communication between our internal & external stakeholders. In addition, we use ClickUp to record meeting notes, assign tasks from meetings, and keep the team updated when unable to attend. Lastly, the dashboards and AI features are a great addition to help us execute our marketing activities.

We are currently using ClickUp alongside our other project management tool but using ClickUp for internal projects that span multiple departments. As the software is so affordable we can rotate users on a project basis. This allows us to keep all aspects of the project current and available across campus.
  • Different spaces so you can use it for multiple departments.
  • Kanban boards.
  • Excellent task/sub-task management.
  • High level of customization.
  • The interface takes a little getting used to.
  • Needs more contrast to have cards stand out more.
  • Takes a little work to optimize it for different processes (like scrum) but the templates and documentation are a big help.
ClickUp is useful anywhere you can imagine needing a project management tool. It is almost infinitely customizable and the pricing is outstanding. It allows for tasks/subtask and resource allocation.

If you are really into heavy reporting it may be a little light. We have been using it for task-based projects only so we have not really delved into the time and resource management features.

Suited: I like the most is handling multiple projects with ease of work along with the tracking of work completed on the modules along with the remaining work needs to be done on modules. Less appropriate:ClickUp software: I dislike the most that it might take time to load the project details sometimes, and when we try to multi listing the task, then it will not work in the free trial.

In ClickUp we can be able to see the tasks with high priority and low priority easily and work accordingly and also, we can monitor the team's progress with ease. Previously we don't have proper project management tool to track all these. But when we use click up we are able to solve all of these problems. With the help of ClickUp we are monitoring daily progress of the tasks regarding productivity and also it is capable to address all our status related issues like moving from inprogress to complete and then to in review so that the top management can have an idea about the status.

It looks like it is useful for more medium sized organizations rather than big organizations if we want to give access to all users in the big organization it might be quite expensive.

Our organization administers all construction projects for the University of California, Davis. ClickUp allows my team of 4-project managers to effectively execution 15-20 projects. ClickUp's Hierarchy ability is a game changer and the reason we selected ClickUp among the many task managers out there. The business problem addressed is maintaining reliable work plans across 15-20 projects. The scope of our use case includes a team of 4 project managers and external stakeholders collaborating around multiple spaces in ClickUp all of which we roll up key details such as milestones and constraints. We also utilize ClickUp for agile events and white board planning sessions. It is a perfect tool to track all details while being agile - and allowing people to utilize the software however it best fits their work processes.

Game changer for our team of 4 project managers who execute 15-20 design and construction projects at a time. ClickUp is packed with features, highly customizable, and has the ability to scale via hierarchy. After years of testing/using other software tools for task management, I found myself finally at ease not looking for the grass to be greener. Thank you ClickUp! Specific scenario where ClickUp is well suited is having a Space that a single project manager owns, projects within that space. ClickUp allows multiple projects across all of these spaces to be rolled up to a higher view, reports, or dashboards. Very powerful. Another scenario is being agile. When we encounter a problem we can create a specific "list" and utilize any view that is best to document and plan to solve the problem at hand. When the problem is complete, we can archive the list.

My team uses it for creating backlogs, tasks, and managing sprints. ClickUp is very flexible and it helps deal with remaining tasks from a previous sprint to the next one in a few clicks. Also, it's very common to have dependencies between tasks or a task that can split itself into many small tasks and that is what ClickUp excels.

Being able to get a glimpse of the pending work to do on a whiteboard and linked to GitLab makes it possible to claim tasks and filter search those related to the assignees or observers.

We started off using Jira for software development but also wanted to expand its use to manage other tasks within the organization. The problem we quickly came across was that Jira was cost effective for under 10 users but costs blew out significantly above that. In particular, just about every half decent feature we wanted to use was only available as a paid add-on from a third party and not part of the core product. There were also other annoyances like dated UI, very rigid structure in terms of levels, no ability to have multiple assignees on tasks, etc. We went looking for an alternative and initially tried Asana and Trello but they also had many shortcomings that we couldn't get over. Through our search efforts we eventually came across ClickUp. It was the perfect fit for our organization. It did everything Jira, Asana and Trello did but was more feature rich, easier to use and didn't cost an arm and a leg by comparison (and we're on a Business Plan so it's definitely not the cheapest option, but we wanted the extra features). Now we use ClickUp across the entire organization from management, to IT, to marketing and operations.

ClickUp has worked extremely well for us for both IT and software development as well as managing Operational work. It seems to be very well suited to both, where other competitors seem to fail. It's very intuitive with a modern UI and doesn't seem to have as much technical debt compared to other products in the same field in the market. ClickUp was extremely good at implementing new features and responding to user feedback but as it grew that seems to have slowed down a bit. We're not on the top-tier enterprise plan which apparently offers more fine-grained security and control over status transitions like Jira, but for our size business, this hasn't really been a problem as we've appreciated having a simpler user experience.

Easy editable gant chart, with easy overview on team capacity. Where it didn’t well - on a new teams which has lack of PM skills. They mainly struggle with entering too many task levels and details, which end up in chaos.

I use ClickUp in several ways
- My full-time business: For my business, I use it to manage my client projects, for internal operational tasks, content creation and as a resource hub (things like brand guidelines, keeping track of books I want to read, compiling market research)
- Travel blog: For my blog, I use it to plan my content and keep track of affiliates
- Personal: ClickUp was great to organise the renovation of my house
  • Custom views. No need to replicate projects, just duplicate a view and adjust it to your needs. Any updates you make to one view will sync with your other views
  • Custom fields make live so much easier as they provide additional task data without having to use descriptions and it allows you to filter your projects.
  • Automates repetitive steps
  • Dashboards because you don't need to search for what you need to work on that day. Everything is there for you in your dashboard
  • It can be a little hard to find features through the various menus as they only appear when you hover over them
  • Speed needs to be improved. It has become slower over time but I know they are working on that.
  • Some of the new 3.0 features that I was very excited about were put behind higher subscriptions.
Customisation and flexibility in setup
Some other project management tools have a reputation for their flexibility, but these can get messy really quickly. While others feel a bit too rigid for my liking. The level of customisation and the features that ClickUp offers give the perfect balance between flexibility and structure, giving me enough freedom to tailor the tool to my specific needs while providing a strong foundation to work from. And the best thing to me is the ability to switch between different views such as List, Board, Calendar, or Gantt chart, with just a click.

Task Management
Within ClickUp you can determine how many layers of tasks you want and all you need to do is click the down arrow to see them. Added benefit is that subtasks can be turned into tasks. There are so many possibilities within each task with ClickUp's standard setup like:Time tracking, Checklists, Image and video attachments, Threaded comments, linking to people, tasks, and docs. Plus, the game-changer for me (this is what made me upgrade) was the use of custom fields. The flexibility this creates to sort projects based on the design phase, track progress by using a dropdown to mark design elements as in progress, on hold and done as well as use checkmarks to display if an element is approved by the client

We are a small, boutique graphic design agency in [...] TX without a project or traffic manager on staff. So we require a platform that accomplishes the management for us—efficiently. We used Trello for years, but eventually, our client load and workflow complexity kind of outgrew Trello and necessitated a change. We explored a lot of options, but we eventually fell in love with the cleanliness of ClickUp's interface (we are designers, after all!). Their team facilitated some walkthroughs for us as we dug in to vetting the product, and we discovered that it's not just pretty—it's packed full of features that have helped us organize and facilitate some real improvements to our internal and external communications. Namely, the Subtask feature and the ability to define project dependencies has been a game-changer for us, as we frequently work on projects with multiple components, often touched by different members of our teams (or our clients'). Additionally, the Home tab, which offers a comprehensive project outlook has been super helpful in avoiding unnecessary delays in communication or production. We know we've really only scratched the surface of all that ClickUp has to offer, but based on our initial experience, we're pretty excited to see how much more powerful our jobs management can get in the near future. ClickUp has been a win for [...], and we're happy to recommend it to anyone we know.

One of our clients hosts a fairly large fundraising gala every year. This project requires multiple assets in multiple media: print, direct-mail, social media, web, email campaigns, photography. This kind of project requires a pretty linear progression of one asset to the next, leading up to the event. That is, branding the event must come first, to establish the overall look and feel of everything that will follow. Producing the first email and print announcements comes second. It goes like this all the way to the date of the event, where we will need to have a fully functional microsite at their web home, in addition to a staff photographer present, etc. ClickUp's ability to organize all of this in one task card makes this complex process pretty seamless. Each asset can be defined as a subtask with clearly defined roles and due dates, containing its own sequence of communication and proofing/revising. Additionally, dependencies can be defined: ClickUp knows that we cannot begin work on the email campaign until we've completed the branding and social media assets, for example, and the app will inform the relevant team members that the branding workflow (for example) is at risk of throwing the rest of the project off-schedule. All of this together has materially helped us pull of large, complex projects with measurably higher efficiency.

We have used ClickUp as a complete business management tool, to handle managing our daily client responsibilities, our sales flow and our CRM, as well as our content creation and management portal. ClickUp has been an all-in-one solution, true to it's goal, where we could manage just about every aspect of our business activities. This includes things such as web design projects, search engine optimization clients, social media management, and business management for two other associated companies. I must confess, I have managed much of my personal life and responsibilities there as well! Due to my extensive amount of use of ClickUp, I am recognized as a Verified Power User by ClickUp.
  • Structure - I can create the structure I need for any type of project
  • Detail - I can create the custom fields I need for any type of data management
  • Versatility - From task mgmt to doc mgmt, whiteboards to mindmaps, I have multiple ways of processing data
  • Perspective - The multiple, customizable views are a real help
  • The new, integrative dashboards are an amazing help! Now, I can drill down right into my tasks from the dashboard graph views. Very helpful!
  • Speed - This is the big elephant in the room. It is an extremely slow platform to work within, especially with lots of data in the mix.
  • Analysis - While the ability to create dashboards is there, the automated overviews of project spaces in products like Asana or Quire is a gaping hole.
ClickUp is a great platform, and has tremendous versatility. If you are looking for a comprehensive business management solution, it could well be the answer to that need. It can actually be fun to work within, and the delays I was experiencing have been addressed through installing the app as a browser app from your preferred browser's settings menu.

I use ClickUp for task management between several departments such as Technology, Finance, Operations. For each department, the board serves a general project management purpose. The primary use case that we all have in common here is to ensure all deliverables are being tracked and nothing falls through the cracks. Specific to each department, the use cases can vary:
Technology: With tech, I use it to mainly check all of my prioritized tasks as a product manager and to see if there are any expected delays in any of the tasks. We also use it to address bugs and resolve them. Sprint management is the main feature that we use amongst ourselves to ensure that our deliverables are structured properly. We also use small features like tracking blocked and "waiting-on" tasks to make sure that if there is a particular item that needs attention and unblocking, I can take care of it.
Finance and Operations: With finance, we mainly use the boards to manage the requests that have been submitted to us. These go through an internal pipeline within finance and then are transferred to us using buckets that exist on ClickUp. The customizability of these buckets allows us to track them very effectively
  • Automated sprint management
  • Creation of labels such as blockers or other custom labels
  • Email notifications for updates
  • Warnings and reminders for tasks that are overdue/near deadlines
  • Log tracking of tasks and their timeline
  • A centralized dashboard should be there for analytics
  • Creating custom durations for sprints to accommodate for public holidays
  • Hovers for task descriptions for subtasks should also exist
  • The mobile app is not very easy to navigate when there are multiple boards
  • Template creation for sprint board structures would be great
Scenarios where it is well suited:
  • Resource allocation - it is very easy to allocate a particular item to a specific user and manage each task this way
  • Time management - very easy to manage timelines using the due dates, estimated hours, delivery dates items etc.
  • Task tracking - each task can be easily tracked based on the bucket it exists in
  • Notifications for all change management - all changes to a task that is being watched by a user generates a notification
  • Cross-functional collaboration - providing access to several departments and users is easy
  • Customizable project management - overall customizability is good which allows for each department to operate in a way that suits it
Areas not suitable:
  • Analytics - either i am not well aware of analytics or this functionality does not exist
  • Load management - resource load allocation management should be available
  • Productivity management - tracking how much was delivered by a particular user
  • Team management - creation of teams based on a set of users would improve aggregated tracking
